This Privacy Policy explains how Traction Grid (“Traction Grid,” “we,” “us”) handles personal information collected through tractiongrid.io, our inquiries, demo bookings, subscription accounts and business software services. Traction Grid operates from Tandag City, Surigao del Sur, Philippines. This Policy is intended to reflect applicable Philippine privacy requirements, including Republic Act No. 10173, the Data Privacy Act of 2012, and its implementing rules, together with other privacy rules that may apply to particular customers or individuals.
1. Who Is Responsible for Your Data?
For information collected directly to operate Traction Grid's website, process subscriptions, respond to inquiries and manage our own customers, Traction Grid generally decides why and how that information is handled. For personal information that a client uploads to its business account — such as its customers' contact details, messages or bookings — the client generally controls the purposes of processing, while Traction Grid provides software services and processes such data on the client's instructions, as applicable. The roles and instructions for a specific business account may be further defined in a contract or data-processing agreement.
2. Personal Information We Collect
- Contact and inquiry details: name, company, email address, phone number, service interest and messages you send to us.
- Demo and meeting details: scheduling choices, availability, meeting notes and information supplied in booking forms.
- Subscription and business account details: account name, authorized users, login identifiers, preferences, configuration, support requests, account activity and invoice or transaction records.
- Client-managed business data: customer contacts, appointment records, pipeline activity, conversation content and other information a subscribing business adds to the software.
- Technical and usage details: IP address, device and browser data, logs, website interactions, cookie identifiers and security events, where collected by our website or service infrastructure.
- Communications: emails, chat, text messages and call or AI interaction records when those functions are enabled and used. Recording or transcription must be accompanied by applicable notices and consents.
We do not request sensitive personal information through general inquiry forms. Please do not send health, financial-account passwords, government identification numbers or similarly sensitive information unless it is necessary for an agreed service and appropriate arrangements are in place.
3. How Information Is Collected
We obtain information from you when you complete a form, book a demo, register or subscribe, communicate with us, or use the software. We may also receive information from a subscribing business that controls its own customer records, authorized integrations or service providers that help operate the platform.
4. Purposes and Lawful Grounds for Processing
We process information for specified and lawful business purposes, including responding to requests; creating and securing accounts; performing subscriptions and service agreements; processing payments; delivering communications or automations that users activate; providing support; maintaining service quality and security; complying with legal obligations; and sending promotional information when lawfully permitted. Depending on the circumstances, processing may rely on your consent, performance of a contract, compliance with a legal obligation or another lawful ground recognized by applicable law. Where consent is required, you may withdraw it in accordance with your rights and applicable requirements.
5. Client Data Within Traction Grid SaaS Accounts
Clients using Traction Grid's software are responsible for giving their customers appropriate privacy notices, obtaining required consent or other lawful grounds, and ensuring information uploaded to the platform is collected and used lawfully. Traction Grid uses that data to provide the features the client selects, including contact organization, messaging, appointment handling, reporting and account support. We do not use one client's customer lists to market another client's business.
6. Forms and Booking Calendars
Traction Grid's contact form and demo scheduler operate through our branded service address crm.tractiongrid.io. When you submit a form or book a meeting, the information you provide is used to process your request, confirm an appointment, respond to your inquiry and maintain related business records. Embedded tools may process technical information needed for secure and reliable operation.
7. Email, Text Messages and Communication Preferences
If you request a demo or submit an inquiry, we may contact you about that request through the contact details you provide. We send promotional messages only where permitted by applicable law and, when required, after obtaining consent. Where SMS is offered, frequency varies and message/data rates may apply. You may reply STOP to unsubscribe from supported SMS messaging or HELP for assistance; you can also contact us by email. Marketing text-message consent is not a condition of purchasing Traction Grid services. Marketing emails may include an unsubscribe link.
Mobile information: We do not sell mobile phone information or share text-message opt-in data with third parties or affiliates for their independent marketing or promotional purposes. Providers that deliver communications on our behalf may handle the minimum data necessary for that service, subject to applicable safeguards.
8. Automated and AI-Assisted Features
If a business enables automated or AI-assisted features, its configured instructions and connected communication channels may cause data to be processed to generate replies, summaries, appointment actions or other outputs. Where supported, the subscribing business is responsible for determining appropriate uses, verifying outputs and providing required notices to affected individuals. Access to such information is limited to operational requirements and the terms applicable to the selected service providers.
9. Cookies, Analytics and Similar Tools
Our website or integrated services may use cookies and similar technologies for necessary functionality, security, remembering preferences, form submissions and booking. If analytics or optional marketing technology is enabled, we will provide any notice or consent mechanism required by applicable law. You can control cookies through your browser, although disabling some cookies may affect website or calendar features.
10. Recipients and Service Providers
Information may be accessible to authorized Traction Grid personnel and service providers assisting with secure hosting, account management, customer communications, payment processing, support, analytics, scheduling and other contracted operations. It may also be disclosed with your authorization or when reasonably necessary to respond to lawful requests, protect users and defend legal rights. We do not sell personal information. Independent websites and payment services have their own privacy policies.
11. International and Cross-Border Processing
Although Traction Grid is operated from the Philippines, we may serve individuals and businesses abroad, including the United States, and some technical service providers may store or process data outside the Philippines. In those circumstances, we seek to apply appropriate safeguards and required agreements under applicable privacy law. A person whose data is collected abroad may have additional local rights depending on their jurisdiction.
12. Information Security
We use reasonable technical, physical and organizational safeguards intended to protect personal information against unauthorized access, disclosure, alteration and loss. These may include access restrictions, account protections and use of security-enabled service infrastructure. No online transmission or storage method is completely risk-free. Security incidents will be evaluated and handled according to applicable legal and contractual requirements.
13. How Long Data Is Kept
We retain information only as long as reasonably necessary for the purposes described here, considering the type of information, the subscription term, support and transaction needs, applicable retention laws, the instructions of a business client, and legitimate recordkeeping or dispute requirements. Different account features and integrations may have different retention settings. When the applicable retention period ends, information is deleted, anonymized or otherwise handled according to law and valid contractual obligations. Client account deletion and export arrangements may also be described in an applicable service agreement.
14. Your Rights Under Philippine Privacy Law
Subject to the conditions and exceptions set by the Data Privacy Act of 2012 and its implementing rules, individuals may have rights to be informed about processing, access their personal data, correct inaccurate data, object to certain processing, request erasure or blocking in applicable circumstances, request data portability where applicable, and seek remedies for violations. You may also withdraw consent when consent is the basis for the activity, and you may raise concerns or file a complaint with the National Privacy Commission.
To make a request, contact [email protected]. We may ask you to verify your identity. If Traction Grid handles the information only on behalf of one of our business clients, we may refer your request to that client or help it respond, as appropriate.
15. Rights in Other Locations
If you are located outside the Philippines, laws in your country or state may provide additional rights or specific requirements. For example, eligible individuals in certain U.S. states may have rights relating to access, deletion or the sale of covered personal information. We will review requests under laws applicable to the individual, business and processing activity. This Policy does not waive any rights that cannot lawfully be waived.
16. Children's Information
Our website and services are designed for business use and are not directed to children. We do not knowingly solicit personal information from children through our marketing website. If you believe a child has submitted information to Traction Grid directly, contact us so we can evaluate the request and take appropriate action.
17. Changes to This Policy
We may update this Privacy Policy when our services, technology or legal obligations change. The updated version will be published at https://tractiongrid.io/privacy-policy with a revised effective date. Where legally required, we will provide additional notice or obtain consent for material changes in how personal information is used.
